Setting up your Epika Fleet email signature in Outlook

Instructions
Fill in your personal details where placeholders are provided (e.g., name, position, contact information).
Ensure all details are accurate and reflect your role at Epika.
Ensure everything is formatted properly (no underlining)
For Correct Email Link:
Highlight your email address.
Right-click and select ‘Hyperlink…’ (or ‘Edit Hyperlink…’ depending on your version of Word).
In the ‘Email Address’ field, ensure the address after "mailto:" is your correct email. It should look something like this:
For Correct Phone Number Link:
Highlight the phone number next to the cell icon.
Right-click and select ‘Hyperlink…’ (or ‘Edit Hyperlink…’ depending on your version of Word).
In the ‘Address’ field under the ‘Link to’ section, ensure the number after "tel:" is your direct line, formatted without spaces, parentheses, or dashes. For example, if your direct line is (763) 123-4567, enter it as:
mailto:yourname@epikafleet.com.
Step 2: Adjusting Link Color (If Necessary) If a hyperlink in your signature turns blue automatically or changes color when you type it in:
Highlight the hyperlink text.
Click the 'Font Color' drop-down.
Choose 'More Colors'.
In the 'Colors' dialog box, go to the 'Custom' tab.
Paste #716d6e in the ‘Hex’ field at the bottom.
Click 'OK' to set the color.
Step 3: Copying Your Signature
Once you have finalized your signature, select and copy all content within the signature block.
Step 4: Pasting Your Signature into Outlook
For Outlook Desktop App:
Open Outlook and go to 'File' > 'Options'.
In the 'Mail' category, click on 'Signatures...' under the 'Compose messages' section.
In the 'Email Signature' tab, press the 'New' button to create a new signature.
Name your signature.
In the edit box, press Ctrl + V to paste your copied signature from Word.
Set the signature for 'New messages' and 'Replies/forwards' as desired.
Click 'OK' to save your signature settings.
For Outlook Online (Office 365 and http://Outlook.com ):
Click on the gear icon (Settings) at the top right corner and select 'View all Outlook settings'.
Go to 'Mail' > 'Compose and reply'.
Under 'Email signature', press Ctrl + V to paste your copied signature.
Click 'Save' at the top of the page.
Step 5: Final Check
Compose a new email to see if the signature appears correctly. Ensure the formatting looks as expected and the hyperlink retains the designated color.
Important Tips:
Before pasting, make sure the Word document doesn’t have any additional formatting or spacing that you don’t want to appear in your Outlook signature.
If the hyperlink color doesn’t change as expected in Word, ensure you're following the color adjustment steps correctly and applying the change to the hyperlink text specifically.
Troubleshooting
